Terms and Conditions for Participation in the Workshop

1. Scope of Application

These Terms and Conditions apply to participation in the workshop (“Workshop”) organized by MACHT-AI, hereinafter referred to as the “Organizer”. By registering for the Workshop, participants accept these Terms and Conditions.

2. Registration and Conclusion of Contract

Registration for the Workshop constitutes an offer to conclude a participation contract. The contract is concluded once the Organizer confirms the registration in writing (e.g. by email). The number of participants may be limited; registrations will be considered in the order received.

3. Fees and Payment

If participation fees are charged, they must be paid in full by the deadline specified during registration. All prices are stated in euros (EUR) and include statutory value-added tax (VAT), unless expressly stated otherwise. In the event of late or non-payment, the Organizer reserves the right to cancel the registration.

4. Cancellation by Participants

Participants may cancel their registration in text form (e.g. email). Refunds, if any, depend on the cancellation deadline communicated during registration. If no refund policy is specified, participation fees are non-refundable. The statutory right of withdrawal does not apply to contracts for leisure events with a fixed date pursuant to Section 312g (2) No. 9 of the German Civil Code (BGB).

5. Cancellation or Changes by the Organizer

The Organizer reserves the right to cancel, postpone, or modify the Workshop for good cause (e.g. illness of speakers, insufficient number of participants, force majeure). In the event of cancellation, any participation fees already paid will be refunded. Further claims, in particular claims for compensation of travel or accommodation costs, are excluded.

6. Program Changes

The Organizer reserves the right to make reasonable changes to the Workshop program, including speakers, content, schedule, or format, provided that the overall character of the Workshop is not significantly altered. Such changes do not entitle participants to a refund.

7. Conduct of Participants

Participants are expected to conduct themselves in a professional and respectful manner. The Organizer reserves the right to exclude participants from the Workshop in the event of serious misconduct or violation of these Terms and Conditions. In such cases, no refund will be granted.

8. Intellectual Property Rights

All Workshop materials, including but not limited to presentations, manuscripts, slides, and handouts, are protected by copyright and related rights. Participants may use the materials exclusively for personal, non-commercial academic purposes. Any further use, reproduction, or distribution requires prior written consent of the respective rights holder.

9. Recordings

Audio, video, or screen recordings of the Workshop by participants are prohibited without prior written consent from the Organizer and the speakers. The Organizer may create photo, audio, or video recordings for documentation and academic or non-commercial promotional purposes. Participants may object to being recorded by notifying the Organizer in advance.

10. Data Protection

The Organizer processes personal data of participants exclusively in accordance with applicable data protection laws, in particular the General Data Protection Regulation (GDPR) and the German Federal Data Protection Act (BDSG). Personal data will be used solely for the purpose of organizing and conducting the Workshop. Further information is provided in the Organizer’s privacy policy.

11. Liability

The Organizer shall be liable for damages only in cases of intent or gross negligence. In cases of slight negligence, the Organizer shall be liable only for breaches of essential contractual obligations (cardinal obligations), and liability shall be limited to foreseeable damages typical for the contract. Liability for injury to life, body, or health remains unaffected. Mandatory statutory liability, in particular under the German Product Liability Act, remains unaffected.

12. Applicable Law and Place of Jurisdiction

These Terms and Conditions are governed by the laws of the Federal Republic of Germany, excluding the UN Convention on Contracts for the International Sale of Goods (CISG). If the participant is a merchant within the meaning of the German Commercial Code (HGB), the place of jurisdiction shall be the registered office of the Organizer.

13. Severability Clause

Should any provision of these Terms and Conditions be or become wholly or partially invalid or unenforceable, the validity of the remaining provisions shall remain unaffected.
